Customer Order Handler – Fixed Term

About the role
As a Customer Order Handler in AAK’s Supply Chain team, you will play a key role in ensuring smooth and efficient service for our valued clients. Your primary responsibilities will include managing customer interactions, data entry, and accurate information capture to support our high standards of service excellence. You will handle multiple priorities effectively, demonstrating accuracy and attention to detail in all tasks. Through effective communication, you’ll address customer needs and contribute to the problem management process, always aiming to produce outstanding results. While a thorough understanding of our customer base will be provided through training, you should have a solid working knowledge in data entry, managing priorities, and delivering quality customer service. This role requires a commitment to maintaining service excellence and supporting our team in delivering exceptional outcomes for our customers.
Responsibilities
- Process and oversee sales orders, ensuring accuracy and timely fulfillment for assigned accounts.
- Confirm that all orders align with lead times, minimum order quantities (MOQs), and make-to-stock (MTS) or make-to-order (MTO) requirements.
- Allocate orders according to contract terms and business requirements.
- Efficiently use SAP, Outlook, Word, and Excel for order processing, reporting, and communication.
- Monitor stock at risk and coordinate extensions or necessary actions to minimize impact.
- Track and manage daily shortage reports to address supply issues proactively.
- Gather and analyze relevant data to support decision-making and operational improvements.
- Maintain clear and professional communication with customers and internal teams via email, phone, and Teams.
- Ensure adequate stock levels and collaborate with relevant departments to resolve shortages.
- Provide coverage for team members during absences to ensure seamless operations.
- Attend and contribute to daily and weekly meetings to align with team and company objectives.
About you
- Available for a one year fixed term contract
- 2–3 years of experience in customer service in a similar role
- Excellent English skills (spoken and written)
- Proficient in SAP and Microsoft Office, especially Excel
- Experienced in including order entry, debit/credit notes, complaint resolution, and delivery follow-up
- Skilled in direct customer communication via email and phone with a strong customer-centric focus
- This full-time role requires a multitasker who is stress-resilient, accountable, energetic, positive, and a strong team player
- Available to work on site 5 days per week
- Nice to have: Experience in the order-to-cash process and knowledge of exports is a plus
