• Provide comprehensive administrative support to the laboratory staff and management, including handling correspondence, scheduling appointments, and managing communications.
• Maintain accurate and organized records of client interactions, laboratory activities, and regulatory compliance for reporting and auditing purposes.
• Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
• Check and order office equipment and supplies, ensuring proper maintenance and functionality.
• Assist in office procedures such as handling confidential information with discretion and ensure compliance with data protection policies and regulations.
• Communicate efficiently with clients via email or call regarding laboratory testing and service inquiries, ensuring all information is clear and accurately conveyed internally and followed up on.
• Act as the primary point of contact for clients, addressing inquiries and concerns promptly and professionally and convey the information internally.
• Schedule and coordinate meetings, appointments, and travel arrangements for laboratory staff.
• Assist in the preparation of regular reports and summaries for management review.
• Provide administrative support for special projects and initiatives, contributing to the continuous improvement of laboratory services.
• Ensure that all samples are received in compliance with Ministry of Environment Canada regulatory requirements and promptly communicate any deficiencies to the client.
• Prepare bottle orders and coordinate logistics services for clients, ensuring timely and efficient delivery of materials and services.
• Assist with various administrative tasks, including distributing analytical reports, compiling EDD files, editing invoices, and managing the Laboratory Information Management System (LIMS).

Qualifications

• Bachelor’s degree
• 1-2 years of related work experience
• Good understanding software (Excel, Word, PowerPoint, Aquis etc.)
• Education in Environmental Science considered as an asset
• Well-developed interpersonal and relationship building skills
• Excellent time management and organization skills
