Under the supervision of the Director of Administration and Operations in Medical Education, the Associate Director, Clinical Student Affairs is responsible for overseeing and coordinating administrative support for undergraduate and post-graduate medical education programs across 17 clinical departments within the School of Medicine. The primary goal is to ensure a consistent educational experience while maintaining compliance with accreditation standards. The Associate Director will lead the establishment of a center of expertise, offering resources and training in clinical student affairs, and developing standards and best practices for service delivery. The Associate Director will work closely with administrative and academic leadership to foster strong collaborative relationships and ensure effective communication across departments.

Provide leadership and organization on key initiatives and projects in clinical medical education program support. 

  • Provide senior expertise and advice to academic partners on initiatives and projects to support the ongoing successful delivery of clinical medical education.
  • Promote a shared understanding of the administrative and academic roles in clinical student affairs across the School of Medicine and encourage collaboration.
  • Lead a team of academic and administrative partners from across the School of Medicine to ensure a harmonized and cohesive implementation of projects. Plan and lead communication and change management activities to foster understanding, adherence and acceptance of change.
  • Manage the development of business plans, including writing proposals, conducting analyses, prepare special studies and reports as may be requested to aid in planning and ongoing program delivery.
  • Serve on UGME, PGME, School of Medicine, and FMHS committees as required.
  • Perform other activities as assigned by the Director.

Working in close collaboration with administrative leadership within Medical Education Services, develop and operationalize a robust knowledgebase to define efficient standardized administrative practices, processes, tools and communication channels to support onboarding and training in clinical student affairs across all units.

  • Develop, communicate and support the application of standard practices for clinical student affairs managers and staff.
  • Establish communication norms. Define escalation and communication paths to facilitate access to support and expertise across the clinical student affairs network.
  • Establish standards and tools for onboarding and training of staff. Contribute to probation reviews when appropriate.
  • Advise on the organization and distribution of work and contingency planning for key activities. Participate in the assessment of staffing requirements and hiring of new staff.
  • Mentor and motivate staff. Engage staff in projects and initiatives and recognize ideas and performance.
  • Investigate and resolve barriers to success. Collaborate as needed on solutions.

Manage the operational and business activities

  • Provide oversight to and collaborate with lead managers to ensure high-quality administrative support.
  • Provide quality assurance oversight on clinical student affairs. Continuously analyze staffing, operations, policies, systems, and procedures to ensure efficient and effective performance.
  • Oversee the implementation of short- and long-term plans for changes in administrative processes.
  • Recruit, develop, and maintain the staff necessary to support activities
  • Develop and prepare standard and ad hoc management reports to support leadership in decision-making and understanding of unit operations

Foster a culture of continuous improvement and learning

  • Pilot, evaluate and roll out procedures to maintain and improve services.

Maintain a close liaison with other departments at McGill and within the Faculty of Medicine and Health Sciences

  • Collaborate with the Communication Officer to develop communications strategies to support the goals of the School of Medicine.
  • Represent the School of Medicine in its relationship with internal and external entities, as requested
  • Communicate clinical education issues and concerns to appropriate School of Medicine and FMHS leadership
  • Supervise staff supporting clinical programs. Direct supervision of Student Affairs Officers, and indirect supervision of all front-line staff. Clearly defining priorities and expectations, ensuring training and orientation, providing guidance, support and problem-solving. Engage staff at all levels in change activities. Communicate frequently with staff to build bonds and a shared vision.
  • Collaborate closely with School of Medicine admin and academic leaders to ensure alignment across the School.
  • Act as a point of contact for clinical department chairs or AEC ADs on issues arising. Manage and resolve issues escalated through SAOs.
  • Maintaining links with AEC teams on issues concerning finance.

Other Skills and Qualifications:

Minimum of 5 years related experience, preferably in a healthcare organization, research institute, teaching hospital, or other similar setting. Graduate degree considered an asset. Demonstrated ability to manage multiple priorities simultaneously, to effectively plan and delegate assignments, supervise staff, collaborate with various units, and work successfully in a group setting. Superior analytical skills and demonstrated ability to exercise sound judgment in applying and interpreting policies and procedures. Excellent interpersonal skills necessary to establish and maintain effective working relationships with key stakeholders at all levels, ability to communicate diplomatically but firmly while exercising a high degree of tact and professionalism at all time. Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 4 on a scale of 0-4.
