About the Role:
Reporting to the Chair, the Department Administrative Advisor provides accessible and personable academic advising to undergraduate students in the department of Sociology. The incumbent is responsible for the administrative duties related to curricular planning and recruitment for undergraduate programs within Sociology.
The Department Administrative Advisor will:
- Advise/attend meetings to provide insight relevant to the Undergraduate Program Calendar, curriculum, timetable, and scheduling;
- Develop and advise on timetables, scheduling, part-time budget teaching needs in collaboration with the Administrative Coordinator and Chair;
- Provide consultation to the Curriculum Committee regarding student needs, and interests within the department’s academic programs;
- Collect data relevant to registration and crucial to timetable/scheduling, to accurately anticipate spots required in courses for students to complete their individual degree requirements;
- Manage, develop, implement, oversee and ensure compliance and organization for the departmental record systems (i.e. student/degree forms, applications, declarations, approvals, substitution letters, memos, overrides etc.);
- Collect, organize, analyze and present data to guide academic planning related to degree programs, co-majors, minors, concentrations, certificates, micro-credentials, and cross-listed courses (i.e.PowerBI, BrockDB, surveys, etc.);
- Design, develop, implement, administer, and analyze annual student surveys (entrance and exit) to guide long-term academic program planning;
- Analyze faculty members’ areas of teaching expertise in relation to curricular needs to assist with academic program planning;
- Provide data to inform departmental initiatives to foster inclusion and accessibility for students with disabilities, first-generation, Indigenous, Black and racialized students, LGBT2Q+ students, and students with major care-giving responsibilities;
- Evaluate and approve declarations to major, minor, carry concentrations, and certificates;
- Manage and assess confidential degree audits to determine if students meet requirements to graduate;
- Refer students to the Student Wellness and Accessibility Centre, Career Services, Learning Services, and other services at Brock;
- Develop and deliver in classroom presentations to inform students about program requirements and introduce students to the advising services available to them;
- Organize and attend, public relations activities (such as Open Houses, the Ontario University Fair, and Faculty based receptions), including preparing materials and presentations.
Key Skills and Experience:
- An undergraduate degree in a related field;
- Experience with academic advising in a post-secondary environment with extensive administrative management experience;
- Knowledge of academic advising, including advising models, theories, and techniques, and counselling theories;
- Knowledge of career outcomes related to undergraduate and graduate education pathways, and ability to interpret the relevance of learning outcomes to employability in current labour markets;
- Understanding of the undergraduate course calendar, course offerings, prerequisites, and class scheduling;
- Knowledge of University policy and protocol, and Faculty policies relating to waiting lists and overrides, course substitutions, grading options, accommodations, academic integrity, scholarships;
- Understanding of the Freedom of Information and Protection of Privacy Act;
- Knowledge of computer software and systems including MS Office, PowerBI, DB Brock and registration system, CMS platform, social media tools, and internet;
- Knowledge of survey instruments such as Qualitrix to generate and analyze survey data;
- Ability to effectively relay information in a clear and concise manner;
- Exercises tact, discretion, and maintains confidentiality;
- Demonstrates and promotes diversity and respect in the University and community;
- Excellent attention to detail with a high degree of accuracy;
- Flexible and adaptable with high energy and ability to deal with a fast-paced work environment.
Salary and Total Rewards:
- Job Grade L, Salary Scale ($62,580-$107,280);
- Target Hiring Range: $62,580 – $64,000
- This is a permanent position that includes:
