The Department of Computer Science in the School of Engineering is seeking a Finance Associate or a Finance Generalist.

The UVA Department of Computer Science is a nationally recognized leader in computer science research and education. The department includes over 60 faculty members, 27 staff, over 200 graduate students, and 1700 undergraduates. Faculty are active in fundamental computer science and engineering research and are engaged in interdisciplinary initiatives with scientists, humanists, engineers in other disciplines and medical personnel. Our graduate students transition from students to collaborators through participation in world-class research projects. Our undergraduates are involved in research and are enriched by an integrated and challenging curriculum.

The Staff in the Computer Science Department provide exceptional support to faculty, students, and fellow staff members. Manage purchasing (40%)

  • Handling the purchasing process from start to finish
  • Check account balances to make sure there is enough funding for the purchase
  • Maintaining proper documentation for all purchases
  • Will coordinate with the requestor and any other relevant party to ensure that the purchase is as requested and fiscally reasonable.
  • Verify that all purchases arrive in good condition. If the purchase is equipment, then coordinate with the IT staff during the purchasing process and after arrival.
  • Verify that the correct account is entered for the purchase.
  • Follow all of UVA Procurement’s purchasing guidelines and policies and keep up to date with any changes.

Process expense reports (25%)

  • Review any receipts submitted and verify that item(s) can be reimbursed
  • Communicate as needed with requestor
  • Review account to be charged to verify there are enough funds for the reimbursement
  • Enter reimbursement information into Workday
  • Stay up to date with the policies and procedures of the University

Travel (15%)

  • Act at the point of contact for travel in the department
  • Assist with setting up profiles in TravelUVA as needed
  • Work with faculty and students to help book travel for work-related trips
  • Advise faculty and students of travel policies and rules
  • Assist with any other travel related purchases (conference registration, hotel reservations, etc.)
  • Verify accounts to ensure enough funding is available for the travel expenses
  • Verify that student travel has been approved by advisor/PI.

Other Finance tasks (10%)

  • Prepare account certifications
  • Run reports as needed
  • Assist faculty with account questions or direct them to the appropriate person if unable to assist
  • Reconcile T&E card monthly
  • Attend weekly SEAS finance meeting
  • Attend quarterly Finance Admin meeting
  • Attend other meetings as needed
  • Other duties as assigned

Administrative (10%)

  • Cover the reception desk as needed
  • Assist Building Manager with updating/arranging student labs and faculty offices
  • Coordinate with facilities when needed or when the Building Manager isn’t available (to replace carpet, paint office, etc.)
  • Attend Space Committee meetings
  • Other building tasks as needed
  • Assist with faculty recruitment
  • Assist with department events as needed
  • Other miscellaneous tasks as needed

Preferred Qualifications:

  • Proficiency in Workday, Smartsheet, and Microsoft Office tools, including Excel, Outlook, OneDrive, SharePoint, and Teams.
  • Attention to details and accuracy in document preparation and data entry.
  • Experience working in a fast-paced environment.
  • Strong problem-solving skills with a proactive approach to tasks and challenges
  • Demonstrated success in providing high-quality support and building positive relationships across departments and roles.
  • Experience working in higher education, government, research institutions, or other closely related organizations.

In addition to the above job responsibilities, other duties may be assigned.

HIRING RANGE:

Finance Associate $50k – $57k

Finance Generalist $55-$67

MINIMUM REQUIREMENTS – Finance Associate

Education: High School Diploma

Experience: Previous experience in purchasing and processing reimbursements is desired. Experience working within UVA finance systems (Workday, UBI, etc.) is a plus. Must have experience in Excel and other Microsoft software. Experience working within UVA finance systems (Workday, UBI, etc.) is a plus.

MINIMUM REQUIREMENTS – Finance Generalist

Education: Bachelor’s degree

Experience: At least 2 years of related experience. Must have experience in Excel and other Microsoft software. Experience working within UVA finance systems (Workday, UBI, etc.) is a plus.
