This role presents a unique opportunity to collaborate across various IT and Human Health functions, while assisting our organization in pioneering new methods of communication, assessment, and engagement with our customers and patients through cutting-edge digital channels and technologies.Your Core ResponsibilitiesYou will manage and prioritize correspondence, acting as the primary point of contact between the VP and othersArrange travel, including intricate, multi-leg, and international journeysProvide administrative support, such as crafting and editing e-mails, drafting memos, and preparing communications on the executive’s behalfMaintain comprehensive and accurate records, demonstrating your exceptional attention to detailConduct minor accounting tasks, including submitting expense reports, showcasing your financial acuityOrganize meetings, including scheduling, sending reminders, and coordinating catering when necessaryManage the executive’s calendar, prioritizing the most sensitive matters and ensuring efficient time managementYou will have the opportunity to coordinate and execute multiple tasks while understanding the principles and technical skills related to your assignmentsDevelop various work assignments requiring independent judgment, creativity, and problem-solving skillsSupport the utilization of Team Sites, Sync communities, and our company databasesCommunicate effectively with our company executives and internal/external clients both on-site and remotely, fostering collaborative workflowYou may get the chance to coordinate special projects within the division/areaPrioritize work and perform tasks for review with minimal supervisionAiding with coordination of activities for other administrative assistants across the organizationWho You AreYou are ready if you have:High School DiplomaMinimum of (8) years Administrative Assistant experienceMinimum of (3) years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.) and operation of other peripheral devicesSAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAPExperience scheduling complex travel arrangements including multi-leg domestic and international travelDemonstrated experience with processing of Visas/Passports.Advanced secretarial/clerical abilities with a proven track record of high performanceDemonstrated ability as a strong performer in current and past positionsAbility to handle and prioritize a large number of simultaneous assignmentsExperience with event planning and coordinationExtraordinary attention to detailExceptional communication and interpersonal skillsExperience with financial and budget tasksStrong organizational skills and ability to multitaskProactive, self-directed, with strong decision-making abilitiesPreferred qualifications:Advanced education (Associate’s or Bachelor’s degree) or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)MSJRNOTICE FOR INTERNAL APPLICANTSIn accordance with all employees subject to this policy are required to have a minimum of twelve (12) months of service in current position prior to applying for open positions.If you have been offered a separation benefits package, but have not yet reached your separation date and are offered a position within the salary and geographical parameters as set forth in the Summary Plan Description (SPD) of your separation package, then you are no longer eligible for your separation benefits package.
