Job description
The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Medical Education and Enhanced Skills Coordinator and the Medical Education Manager, the Medical Education Committee Assistant will provide administrative support for the Education Program Committees in the Postgraduate and Undergraduate programs for the Department of Family Medicine, as well as support to the Chairs of the Program Committees and Sub-Committees.
Key Responsibilities
- Respond to a high volume of committee related inquiries, problems and requests by email, phone and in-person. Serve as a primary resource regarding committee Terms of References, policies and procedures.
- Schedule committee meetings. Book rooms, arrange and assist with distributed meeting technology. Draft agendas, prepare and distribute meeting packages and materials. Record, prepare and distribute minutes. Identify, follow-up and manage action items for committees as required.
- Support committee related activities including maintaining electronic and paper copies of meeting materials; updating and distributing pertinent documents and committee reference material; and assisting with Problem-Based Small Group Learning registrations and payments.
- Participate in the planning and organization of various program events and aspects of various special events.
- Manage and facilitate resident project submission and evaluation and provide support to resident project activities.
- Provide general administrative support to the Education Unit as well as back-up support for Department administrative staff for break/lunch/vacation coverage as required, including rotating reception coverage.
NoteAs many events or meetings happen outside of the regular work hours, flexibility in regards to working hours, with advance notice, is required. Scheduling and compensation will be in accordance with the collective agreement.The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Business/Office Administration diploma plus approximately three to five years relevant work experience (or equivalent combination of training and experience).
- Previous experience supporting committees including minute taking skills.
- Demonstrated time management, analytical and organizational skills.
- Proven strong interpersonal and communication (verbal and written) skills.
- Demonstrated strong computer skills, including webinar and online conferencing systems, email management and MS Office suite (Excel, Word, Access) as well as demonstrated ability to learn new programs.
Assets
- Previous experience with or knowledge of Brightspace, DalMedix, One45, hospital IT systems and/or Dalhousie Medical School.
