(Senior) Manager, US Operations

About the (Senior) Manager, US Operations

We’re seeking a skilled and experienced people operations professional for our new Manager role to support both our US Operations and the business operations of IDinsight’s US entity. While the number of IDinsight staff in the US is small (less than 20), we have employees working fully remotely in 15 states, which adds complexity and challenge to the job.

This is a hands-on role in a mission-driven, lean, rapidly evolving non-profit environment. You will work remotely and independently, while also having the opportunity to collaborate with and learn from Regional and Global Operations colleagues and other teammates around the world. This role requires a strong work ethic, attention to detail, consistency, high-quality execution, strategic thinking, excellent prioritization, and ownership. Those who are self-motivated, reliable, comfortable working fully remotely, able to persist in getting occasional bureaucratic people operations tasks done – while also eager and interested in strategic “big picture” thinking and planning – will thrive.

The Manager, US Operations will report to the Director, Global People Operations, along with a dotted line to the Chief Operating Officer (COO), and will be responsible for the following workstreams:

US Operations Oversight and Special Projects

• Working closely with other Operations, Finance, and Legal colleagues, this role will be responsible for the independent execution of complex projects, leading US-focused strategic planning, understanding compliance requirements, and ensuring compliance within the US.
• With the support and guidance of the Director, Global People Operations, and the COO, brainstorm and scope out US Operations special projects to lead and execute.
  • Examples include: researching, recommending, and rolling out
    • a new 401K retirement plan for US employees;
    • more efficient methods for achieving Human Resources (HR) and other compliance requirements (e.g. PEO, business compliance services); and
    • the revamp and update of the US employee handbook.

US Human Resource Administration

• Lead US-related onboarding/offboarding of US-based staff, consultants, interns, and volunteers.
• Oversee and administer US-specific benefits, including but not limited to Group Health Insurance, Flexible Spending Accounts, 401k retirement plan, and US holidays.
• Track and report US employee compensation changes monthly to the global payroll team.
• Support as needed with research and benchmarking for US benefits and compensation.
• Lead all tasks related to remote US office administration, including but not limited to managing US office mail, US voicemail, US co-working space, US Ops correspondence, US Ops team logins, and US Ops payments.
• Maintain accurate personnel files and manage US HR records in HRIS.
• Conduct audits, file benefit-related annual reports, and complete other tasks to ensure HR compliance.

US City, State, and Federal Compliance and IDinsight Inc Entity Compliance

• Working with IDinsight teammates, service providers, and city/state agencies, maintain good standing as an employer in all US states where employees are based, including ensuring all reports are filed and all invoices are paid in a timely manner.
• Working with IDinsight teammates, service providers and city/state agencies, research requirements and register as needed to set up city/state-specific payroll withholding taxes, paid family and medical leave plans, unemployment, worker’s compensation, and other mandatory registrations.
• Play an important role in ensuring IDinsight’s compliance with US federal, state and city labor, employment, tax, and nonprofit-specific regulations.
• Timely sharing of IDinsight Inc entity documentation as needed within the organization.
• Work closely with other IDinsight teammates to complete other tasks, as needed, to ensure compliance for the IDinsight Inc US entity, including the annual IRS 990 Form.

Collaborate and Support Global Operations and Other Functional Teams

• Collaborate and support Global and Regional Operations colleagues – especially other Regional Ops Leads – and other functional teams (e.g., Finance, Systems) on additional special projects for the organization.
• Support Global Operations colleagues with the administration of global benefits, including but not limited to health insurance, travel, and professional development stipends.
• Support Global Operations colleagues with performance review cycles, performance management, and organization-wide surveys, goal-setting, and feedback efforts.
• Identify, utilize, and share experience with colleagues on using AI to improve HR and business operations.

Qualifications

• 5-10 years of progressively responsible people operations/HR experience within the United States or with an organization with U.S. operations and remote employees based in multiple US states;
  • Strong preference for experience working in People and Business Operations with rapidly growing international nonprofit or social enterprise organizations;
• Experience with most or all of the following areas of operations/HR:
  • US city, state, and federal payroll taxes and deductions;
  • US city, state, and federal paid family leave policies and compliance;
  • 401K plan administration and compliance;
  • US health insurance policies and compliance;
  • Other standard benefits provided by non-profit organizations for US-based employees;
  • US non-profit organization insurance policies and compliance;
  • US non-profit state registrations and compliance;
  • Willingness to quickly develop proficiency in any areas of deficit.
• Willingness to roll up sleeves and handle all aspects of an organization’s US operations/HR needs from routine and sometimes bureaucratic tasks to high-level strategy discussions;
• Well-organized and strong attention to detail, while being able to zoom out and understand the big picture.
• Strong ability to maintain integrity and confidentiality in complex situations, and handle sensitive information, data, and issues with mature and discreet professionalism;
• Demonstrated track record as flexible and a self-starter and independent contributor, including comfort with ambiguity and dynamic, fast-paced environments and work streams;
• Strong communication skills in multiple fora (written communications, public speaking, teamwork, and upward management);
• Ability to learn quickly;
• Ability to mentor and coach teammates
• Passionate about global development and social impact;
• Experience working in international, cross-cultural, and diverse teams (preferred).

Location

Remote, anywhere in the US (with preference for Eastern Time Zone).

Start date

The start date of this position is December 2025, with preference for candidates who can start immediately. We expect a 2-year minimum commitment, with regular professional development conversations and potential for a long-term career at IDinsight.

Work authorization

Applicants must be legally authorized to work in the United States for this position. IDinsight cannot sponsor visas for this role.

Compensation

Compensation and benefits are commensurate with the qualifications and experiences IDinsight is hiring for, and competitive within the global development sector. Please note that, as a non-profit, we are unable to provide compensation similar to leading private sector organizations.

The salary range for this position in the US is as below. The final level placement and salary are dependent on the candidate’s qualifications and experience. (In rare cases, salary may vary depending on the US location.)

• Manager: USD 60,000 to USD 71,000
• Senior Manager: USD 71,000 to USD 82,600
