Each year, over 40,000 applicants apply to undergraduate programs at the University of Alberta, making this unit a key contributor to the university’s enrolment success.As part of this team, the Strategic Initiatives Lead, Admissions plays a critical role in driving process improvement, policy changes and technology advancements that shape the university’s admissions landscape. This position supports admissions-related projects, ensuring that initiatives are executed efficiently, consistently and with the highest level of expertise.PositionReporting to the Assistant Registrar, Admissions, the Strategic Initiatives Lead, Admissions is responsible for ensuring that key initiatives-including technology upgrades, process improvements and policy changes-are conducted in an informed, efficient and results-driven manner.This position requires high admissions expertise to anticipate challenges, identify solutions and drive continuous improvement. The Strategic Initiatives Lead is responsible for all phases of admissions-related initiatives, including planning, execution, monitoring and closure. Projects may be initiated internally or externally to the Office of the Registrar, including collaborations with government agencies.This position will be a subject matter expert in business analysis, policy evaluation, change management and implementation support. In addition, the Strategic Initiatives Lead will serve as a liaison between the Admissions unit, faculties, governance bodies and external partners, ensuring that initiatives align with institutional priorities.The Strategic Initiatives Lead is also responsible for monitoring progress, resolving issues and providing regular reports to admissions leadership to ensure initiatives stay on track, on budget and within scope.DutiesUnit Initiative Planning, Implementation and Management

  • Leads and manages admissions-related initiatives, ensuring projects align with institutional goals and best practices.
  • Provides expert functional, technical and policy knowledge to support admissions projects and system upgrades.
  • Develops and monitors project timelines, deliverables and milestones.
  • Works closely with internal and external stakeholders to identify risks, resolve issues and manage change effectively.
  • Chairs admissions stakeholder meetings to provide updates, resolve roadblocks and ensure smooth implementation of initiatives.
  • Coordinates the development of training materials and facilitates training for admissions staff.

Administration, Organization and Communication

  • Ensures all project-related documentation is maintained and shared with relevant stakeholders.
  • Provides regular progress updates to the Assistant Registrar, Admissions and other leadership team members.
  • Drafts reports, business cases and policy change recommendations for admissions operations.
  • Ensures all admissions-related initiatives adhere to university policies, governance processes and external regulatory requirements.
  • Facilitates collaboration between faculties, governance bodies and the Office of the Registrar on strategic initiatives.

Business Analysis and Process Improvement

  • Identifies opportunities for improving the admissions unit’s processes, policies and technology.
  • Conducts data analysis to support process enhancements and measure the impact of implemented changes.
  • Collaborates with stakeholders to define business needs and project requirements.
  • Leads process mapping and business analysis activities to enhance admissions workflows and student experience.
  • Ensures new admissions systems and processes meet business objectives and regulatory requirements.
  • Oversees post-implementation assessments to measure the effectiveness of changes and identify areas for further optimization.

Relationship Management

  • Serves as the primary liaison between the Admissions unit, technical teams, faculties and external partners.
  • Facilitates cross-unit collaboration to enhance applicant experience and streamline processes.
  • Represents the Admissions unit on committees, working groups and interdepartmental projects.

Minimum Qualifications

  • Bachelor’s degree in a relevant field such as Business Administration, Education, or a related area.
  • 5+ years of experience in admissions, student services, or higher education administration.
  • Strong knowledge of undergraduate admissions processes and policies.
  • Experience managing complex projects, process improvements and policy changes.
  • Excellent problem-solving skills, with the ability to analyze data and propose strategic solutions.
  • Strong communication and relationship-building skills, with experience working with diverse stakeholders.
  • Proficiency in student information systems (e.g., PeopleSoft, Slate) and other technology platforms used in higher education.

Preferred Qualifications

  • Experience with project management methodologies (e.g., PMP certification or equivalent training).
  • Knowledge of Organizational Change Management (OCM) best practices.
  • Experience working in a unionized environment.
