What’s the job?
The incumbent is responsible for the day-to-day coordination and management of the Lending Operations department and other related duties. He/she oversees the activities of the senior administrators, lending administrators, and administrative assistants. Coordinates related duties to ensure high levels of productivity, quality, and morale within the unit. The Supervisor is responsible for interviewing prospective department staff and making decisions for hiring, promoting, disciplining and dismissing employees. The individual is responsible for developing processes and implementing and supporting corporate objectives. As well as provide subject matter expertise in corporate and departmental projects as they relate to all department areas. The incumbent is responsible for inter-departmental liaison to ensure efficient and successful implementation of administrative processes and project assignments. The Supervisor works with outside service providers such as law firms, appraisal companies, CRM, CRI and HPO to ensure high service levels and coordinates and implements projects relating to the vendors. He/she must ensure appropriate security requirements are adhered to, assess risk to CCS concerning the loan file asset and oversee the safekeeping and control of all retail loan files. This position is a key resource for providing high-level knowledge in all administrative functions to all delivery channels, including branches, retail credit, credit recovery, credit risk review, and other stakeholders.What you’ll get to do:Change Management
- Keep abreast of lending policy/procedures and technology changes, supporting others in the transition. Respond positively to changes, challenges and new opportunities. Assess, develop and implement new procedures in response to change, providing training and support within Lending Operations and to staff at all levels. Actively identify areas that may be improved and present ideas. Act as a subject matter expert for developing new procedures and projects.
Leadership
- Provide a working environment that ensures high productivity and morale within the department. Provide coaching, training, career counselling and guidance for direct and indirect reports. Responsible for performance evaluations, salary adjustments, and making decisions for hiring, promotions, disciplinary measures, and terminations.
- Effectively apply and administer employee policies and performance criteria for staff. Develop constructive working relationships and partnerships with other business unit management and support staff.
Operations
- In the absence of the Manager, Lending Operations assumes all department responsibilities, acting as a direct resource for all staff. Required to have expert knowledge of lending products and all department responsibilities, including but not limited to reconciliations, specialized products, staff accounts, commission sales payments and Letters of Credit
- Efficiently manage the day-to-day operations of the Lending Operations Department, including providing guidance on compliance with lending policies/documentation requirements and providing technical and procedural expertise. Recognize and develop opportunities to improve department/corporate procedures and efficiencies.
Project Coordination
- Support corporate and department initiatives by coordinating the smooth implementation of various programs/projects within Lending Operations. Research and analyze data, develop requirements, determine processes, perform quality assurance, and prioritize tasks to meet tight deadlines. Act as an in-depth resource, effectively coordinating and communicating with other business partners and outside service providers. Follow through with all assigned project work, ensuring all requirements are met.
Risk Management
- Responsible for the management and safekeeping of all retail loan file information, documenting and controlling the location of each file. Manages the review/verification process, including ensuring documentation adheres to lending policy, registered securities, and CCS is not at risk when funds are advanced. Underwriting is verified for the quality of information. CCS documentation is reviewed for accuracy and required signatures.
- Missing information and documentation are reported and followed to resolution. Routinely handle complex documentation and verification issues/inquiries and communicate with all levels within CCS to resolve them. Develop and manage the calculation and verification of commission sales payments, including external brokers and CCS mobile lending staff. Work with stakeholders to develop processes and ensure CCS is protected from risk.
Who are we looking for?
- Minimum 7 – 9 Years of Job-Related Experience. The incumbent must be conversant with CCS lending products, services, policies and procedures. Required to effectively communicate knowledge as it applies to administration, process and role as a resource within the department and corporately. Must possess strong problem-solving skills in the areas of lending and administration. The individual must have the necessary skill sets to make immediate decisions concerning the business unit. The ability to research, assess and present information for evaluation is required.
- High School Diploma plus completion of a Diploma Program (two years of formal education or equivalent).
- Expert knowledge of Coast Capital lending products, services, policies, and procedures.
- Good knowledge of banking and loan application systems
- Strong organizational and management skills, ability to prioritize simultaneously
- Good written and oral communication skills
- Ability to think logically, interpret information, problem solve and make sound decisions
